Please read the terms and conditions stated here and ensure you understand them before entering into any contract with Chaffinch or using material found on the Chaffinch website.
As supporters are our most valuable asset we protect their details as required by General Data Protection Regulation (GDPR) 2018, and any subsequent data protection legislation.
If you would like to know what details we hold about yourself, please contact us. We follow strict security procedures in storage and disclosure of information that you have given us, to prevent unauthorised access. Our security procedures mean that we may occasionally request proof of identity before we are able to disclose information to you.
Your details will never be given or sold to any third party or used for any purpose other than sending email newsletters and fulfilling any contract that you have entered into with Chaffinch. The exception is disclosure to law enforcement officials upon receipt of a subpoena.
When making a donation or a purchase from our website, certain data will be transferred to a payment processing company. We use Stripe, ApplePay, GooglePay and PayPal, all registered with the FCA. The data made available may include name, address, credit/debit card details and email address. These companies have their own policies regarding the use of this data. Please ensure you understand the agreement you have made/are making in regard to these external companies. Chaffinch does not process payments directly on the website.
Donations received are recorded with the name of the donor (if provided). If Gift Aid has been applied to a donation, we will also retain the house number and postcode of the donor in line with HMRC requirements. Donor details are used solely by Chaffinch and never transmitted to third parties. The exception is in the case of an external audit of our accounts when names and postcodes may be passed to the auditor but not retained.
Our email newsletters are managed by MailChimp. For this, MailChimp retains the names and email addresses of subscribers plus information regarding a subscriber’s interactions with emails (eg. opening, clicking, and social media sharing). Creating an Account
You may choose to create an account on the Chaffinch website when you make donations.
Personal data entered when creating an account may comprise your name, email address, and postal address.
If you wish to delete your account, simply contact us by email and we will process the removal of your account within a maximum period of 7 working days. This includes the deletion of any data not otherwise required to be retained.
The Right to be Forgotten
If you wish your details to be removed from Chaffinch’s records, please contact us by email at firstname.lastname@example.org to make this request. We may require proof of identity in order to process this request.
We are unable to remove certain details from our records due to HMRC requirements. These details comprise names of donors, including postcodes if Gift Aid has been applied. These details will be retained for a maximum period of 7 years in line with legal obligations.

We may collect information when you visit the Website, using cookies.

ALL RIGHTS RESERVED.
Use of images belonging to the Chaffinch website, without the prior permission of Chaffinch, is strictly prohibited. The following are therefore expressly forbidden unless written consent has been given: reproduction for any other purpose, modification, distribution, transmission, broadcast republication, downloading or uploading of any part of this website.
A universal exception is provided to allow users to download pdf content for personal use only.

Raffles, Lotteries, and Giveaways

Here you can also find basic details of lucky winners and the prizes they won. Information is available here for a minimum of 12 months following the conclusion of any raffle, lottery or giveaway.
"Out and About Silent Auction" - Terms & Conditions
There is no cost to submit your bid.
Bids must be submitted by email to firstname.lastname@example.org (with ‘Out and About’ in the subject line), through the dedicated form on our website, or by regular post to 3 Spurr Court, York, YO24 3ND.
The deadline for receipt of bids is 6pm (BST) September 25th.
No bids can be made by, on behalf of, or for a person under the age of 16 years.
The “Out and About Silent Auction” is open to all supporters over the age of 16, except Chaffinch trustees and any Chaffinch volunteers directly involved in the auction.
Chaffinch accepts no responsibility for bids for which the bidder cannot be identified, or for any technical failure or event which may cause the auction to be disrupted or corrupted.
Any bids received after the closing date will be disregarded.
The result of the auction is final. No correspondence will be entered into.
The outcome of the silent auction will be determined on September 26th.
The highest bidders will be contacted by email (or regular post if the bid was received in this manner) within 24 hours.
Payment of the winning bid should be made within one week of the notification deemed to have been received (24 hours after an email is sent or 3 days after postal notification is sent).
Items will be dispatched to winners within one week of the receipt of payment for the winning bid.
Where Chaffinch is unable to contact a bidder so that an item remains unclaimed for two weeks following the draw, or if payment is not received from the winning bidder within the time specified, Chaffinch may apply the item as it sees fit, including re-offering the item in future raffles or auctions.
All winners are required to co-operate with Chaffinch’s right to publish their win as and where deemed appropriate, and to provide proof of age when requested.
Monies raised by this auction will support the activities of Chaffinch, registered charity number 1173464.
Failure to comply with any of these rules may result in the disqualification of the entry. Chaffinch reserves the right to disqualify any entry at their absolute discretion.
The “Out and About silent auction” is subject to the laws of England and Wales.
Chaffinch’s decision in all matters relating to the “Out and About silent auction” is final.
